WhatsApp Task Manager Apps in 2026: What Each One Actually Does

Search for "WhatsApp task manager" and the results are vendor pages, automation recipes and news stories from 2019 about Any.do. Most of the tools on that page are built for support desks, project teams or field crews. If you just want to text yourself a to-do and get reminded later, the list gets short quickly.

We went through what each tool does inside WhatsApp, who it's built for, and what it takes to set up. Vyneron is on the list too, judged by the same questions, limits included.

TL;DR: For personal tasks, the realistic choices are Any.do (WhatsApp on paid plans only), TaskRio (free for personal use), Vyneron (paid plans plus a 7-day trial, text only), a browser extension, or one of the newer AI assistant bots. For teams working in WhatsApp groups, look at TaskRio or Periskope. For field staff, Tasks.Bot. If your team already runs on SmartTask, use its bot.

What to check before you pick one

  • Is it for you, or for a team? Many tools assume a manager assigning work.
  • Does it keep a task list, or only send reminders?
  • What does it accept: text, forwarded messages, voice notes, photos?
  • Where do reminders land: in the chat, or as a push from another app?
  • How do you set it up: a QR scan, or a WhatsApp Business API provider?
  • Whose number is it: the vendor's bot, or your own Business number?
  • What does it cost? WhatsApp is often paid-only.

The tools

Any.do

You write a task in normal language with a date and time, or forward a message to the Any.do bot and it becomes a task. Reminders can arrive in WhatsApp, as a push notification, or both, depending on your settings. Setup is under Settings > Integrations: scan a QR code or open a link, then reply to the bot.

Watch out: WhatsApp isn't on the free Personal plan. It starts with Premium at $4.99/month billed annually, or $7.99/month billed monthly (pricing, how it works). If you already use Any.do, this is the obvious first thing to try.

TaskRio

TaskRio turns WhatsApp messages into tracked tasks with reminders. You can use it in a direct chat or add it to a group, where it can assign tasks and post a daily summary. It describes itself as free forever for personal use, with the first team group free. A "Private" option runs on a company's own WhatsApp Business number, and for that you contact them. It suits individuals and freelancers, and teams that already coordinate in groups.

Tasks.Bot

Tasks.Bot calls itself "One Platform for Tasks, Attendance & On-field Employees." It's built for managers of field crews who want tasks, attendance and staff tracking in one place. It isn't meant for a personal to-do list.

SmartTask

SmartTask's WhatsApp bot lets you create tasks, change the assignee or due date, add comments and list tasks by project or person. Each user sets it up under Apps > WhatsApp, then messages the bot. It's useful if your team already lives in SmartTask, and pointless if it doesn't.

Periskope

Periskope creates tasks from WhatsApp messages, chats and groups, with assignees, priority, due dates and labels. The business connects its own number. It's built for support and operations teams who handle customers inside WhatsApp.

WhatsTask

WhatsTask is a browser extension. It puts an icon next to messages in WhatsApp Web, so one click turns a message into a task, and it adds a sidebar for the list. Because it only works in WhatsApp Web, it won't help you on your phone.

Zapier, n8n and Latenode recipes

Automation platforms can watch WhatsApp and create a task in Todoist or similar apps (n8n example). You need a WhatsApp Business API provider first, so this is for people who like building their own setup.

Meta AI inside WhatsApp

The Meta AI page doesn't mention tasks or reminders. A Meta AI "Tasks" and reminder feature was spotted in development in an Android beta, but we found no announcement that it has reached everyone. It's worth watching, though we wouldn't plan around it yet.

New AI assistant bots

Assistant bots such as Coco, Memorae and Remore offer reminders and lists in a chat, aimed at individuals. We haven't verified their feature lists, so check each vendor's page first.

Vyneron

You message the Vyneron bot in plain language and it creates a task with a due date, a note, or a recurring routine. Routines can skip public holidays. You can also ask questions about your own tasks, notes and files from WhatsApp. The same AI runs on Telegram and Slack, and everything sits in one workspace in the web app.

Reminders arrive in the chat. Within WhatsApp's 24-hour window they come with Complete · +2h · +1d buttons. Outside it, reminders go out as Meta-approved templates (approved in six languages) with Complete · +2h · task menu. Setup is Settings → Integrations → WhatsApp: open the link or scan the QR code, or send the LINK- code, which stays valid for 10 minutes. You message our bot; you don't connect your own number or Business account.

Watch out: WhatsApp is text only. Voice notes, photos, documents and videos aren't processed there, though a caption on a photo or video is read as text. Voice and photo input work on Telegram (@VyneronAIBot) and in the web app. WhatsApp also needs a paid plan (Solo, Multi or Enterprise) after a 7-day trial; the free plan covers Telegram and Slack instead.

How to choose

Already paying for Any.do? Turn on its WhatsApp integration. If your team works in WhatsApp groups, look at TaskRio or Periskope; field crews fit Tasks.Bot. If you want a personal assistant in the same chat that also works from Telegram or Slack, try Vyneron during the trial and see whether text-only suits you. We also compared Telegram task bots, and there's a longer guide to managing tasks in WhatsApp.

FAQ

Is there a free WhatsApp task manager?

TaskRio describes itself as free forever for personal use. Any.do's free plan doesn't include WhatsApp, and Vyneron's WhatsApp access needs a paid plan after the 7-day trial.

Do I need a WhatsApp Business account?

For Vyneron, no: you message our bot from your normal account. Any.do and SmartTask also work through their own bot. Periskope, TaskRio's Private option and automation recipes connect a Business number.

Can I send voice notes to these bots?

It varies, so check each vendor. Vyneron doesn't process voice notes on WhatsApp; voice works in its Telegram bot and web app.
